Customer Service Representative
1st shift – Monday – Friday
Pay Rate $18+ Based on experience
New Berlin, WI

RESPONSIBILITIES:
Customer Service Representative has performed satisfactorily when:
TELEPHONE:
1. Represents the company so that the ServiceMaster image is enhanced in the eyes of the
customer.
2. Responds to all phone calls courteously, identify ServiceMaster Clean and your name or “May
I help you?”
3. Incoming calls are answered within 3 rings.
4. Answering machine messages are to be retrieved by 7:30 a.m. each day.
5. Estimate requests converted to sales appointments.
6. Voice tone expresses interest, sincerity, and friendliness. Demonstrate to all customers a
sincere concern and interest in each customer and in the service provided to each customer.
7. Proper operation, procedures, and information gathering.
8. Phone message forms filled in completely, delivered promptly.
9. Company phones are to be used for company business only.
10. Handle all customer telephone complaints/requests by clarifying the complaint/request,
accepting ownership by initiating action and follow-up to ensure complete customer
satisfaction within 24 hours. Provide a tracking and reporting of all complaints, defining the
complaint, responses, and elapsed time.
11. Perform 48 hour recall in all customers.
APPOINTMENTS:
1. Sales appointments scheduled for earliest possible date.
2. All paperwork for (fire, water, residential, other) taken, confirmed and filled in completely,
including directions to the location of the customer.
3. Schedules are updated on chronicle, office board and job bins daily before you the end of the
day.
4. Work orders confirmed with customer 24 hours in advance.
5. Scheduling of production crews is done efficiently to improve job cost and profitability.
Schedule jobs according to zone availability, crew requirements, and customer preference.
PROCESSING COMPLETED WORK:
1. Service check completed daily.
2. All copies filed accurately in appropriate file.
3. Invoice copies mailed to customer on day received by PM.
4. Send all customers follow-up correspondence.
5. Proper organization of handling area rugs.
6. Ensure that all customer contact files are current in Goldmine.
GENERAL OFFICE SKILLS:
1. Chronicle is updated and utilized proficiently and accurately.
2. Typing and filing skills demonstrate quality, accuracy, and neatness.
3. Understands ServiceMaster systems and procedures.
4. Handle the needs of the company, transmitting all outgoing emails/faxes as required, plus
monitoring incoming transmissions and dispensing to the appropriate departments.
5. Maintain office equipment records for all equipment such as faxes, copier, and computer for
regular service to ensure maximum efficiency of office equipment.
6. Maintain the office supply function of the company to ensure that an acceptable working
supply is available at all times.
7. Efficient use of available office workday for maximum productivity.
8. Understands and uses Chronicle, Microsoft Excel, Word, Goldmine, Xactanalyisis, Alacrity,
Power Point and all other systems for maximum productivity.
9. Tracking report of marketing lead, dollar per job, phone ratio on Goldmine.
Job Requirements
2 to 3 years of Office Customer Service
Familiarity with basic computer systems and typing proficiency
Ability to quickly learn new software or platforms
Attention to detail
Time management and multitasking
Bilingual or multilingual ability
