Job Description

This person will primarily focus on pulling samples from barrels in the warehouse and will not do most of the other duties typical for this position due to the amount of time in the role. This position does require long pants & steel toed shoes and will require the use of hand powered tools (drill) & mallet. Being in the warehouses does expose the candidate to weather, temperatures & alcohol/alcohol fumes.

To schedule, prepare, and conduct appropriate analyses of samples in a timely, accurate, and cost-effective manner
according to the written laboratory methods, quality control standards, good laboratory and safety practices and procedures
to determine that finished product meet specifications.
To accurately document test results and enter those in the Enterprise Resource Program (SAP) to ensure adherence to
customer and internal specifications in support of the company’s quality program within all strategic platforms.
Coordinate all alcohol sample shipments per Salesforce and customer requests.

Quality Analysis

• Ensure necessary testing is completed on all products before shipment to
ensure material is within specified parameters
• Collect and process required samples to meet internal and external
customer requirements.
• As a qualified panelist, perform organoleptic analysis to assess grain,
new alcohol production, aged bourbon/whiskey, and alcohol shipment
samples.
• Perform daily calibrations of Sensory Lab instruments to ensure
instruments are within calibration and for auditing purposes.
• Maintain the distillate database for all new production samples, ensuring
proper batches are assigned.
• Perform daily housekeeping tasks necessary for efficient laboratory
operation.

Customer, Sales and
Regulatory Support

• Collect and process samples as requested by manager, Salesforce and
customer sample orders. Utilize SAP to locate barrels in the aging
warehouse, and.ensure compliance to TTB, DOT and IATA regulations.
• Prepare samples and shipping documentation for shipment to customers.
Ensure shipments comply with TTB, DOT and IATA regulations.

• Maintain DOT and IATA certification for shipment of alcoholic
beverage samples.
• Provide pre-shipment and aged product samples for customers, as
mandated by customer requirements.
• Obtain samples and provide set-ups for customer tastings.
• Collect, record, and maintain Sensory Lab Standards. Ensure customer
approvals, as required, maintain an adequate supply for external
customers.
• Communicate frequently with the Alcohol Sales Staff regarding sample
requirements.
• Compile, prepare, and submit monthly report for Samples Taken
Without Payment of Tax. Report submitted to Regulatory Compliance
Manager.
• Compile, prepare, and submit bi-monthly report of samples shipped for
Federal Excise Tax payments. Report submitted to the Regulatory
Compliance Manager.

Department Assistance

• Maintain an inventory of packing supplies, hazardous material supplies,
office supplies, sample glass, and closures. Place orders as required.
• Maintain Alcohol Storage Room, storing retain samples as required by
MGP requirements.
• Dispose of retain samples into re-distillation containers for return to
distillery.
• Participate in all departmental training.

Data Maintenance

• Post test results in SAP, and to other agreed-upon test result reporting
methods for internal use.
• Report out of specification results to necessary individuals.
• Generate COAs for customers that require additional information on
their COA.
• Maintain and store plant quality records for easy access of results.

Class Descript: Quality Laboratory Assistant

PPE / Requirements:
The Quality Laboratory Assistant is responsible for preparing, analyzing, and reporting on product samples to ensure quality standards are met. This role involves lab testing, documentation, and coordination of customer sample shipments—all while maintaining compliance with safety, regulatory, and quality protocols.

Key Responsibilities:

Conduct sample testing and analysis following standard lab procedures
Perform sensory evaluations (after training) on product samples
Calibrate lab instruments and maintain testing logs
Accurately enter test data into internal systems (SAP or similar)
Prepare product samples and shipping documentation per customer requests
Ensure compliance with all shipping regulations (DOT, IATA, etc.)
Maintain lab inventory, cleanliness, and equipment
Requirements:

High school diploma or equivalent required
Associate degree in a science-related field preferred
At least 1 year of lab or manufacturing experience is a plus
Strong attention to detail and ability to follow precise procedures
Familiarity with Microsoft Office and ERP systems (e.g., SAP)
Comfortable standing for long periods and lifting up to 50 lbs
Must be willing to obtain (or maintain) DOT/IATA certification for alcohol shipments
