Office Manager Requirements

  • Bachelor's degree in Business Administration or a related field required
  • Minimum of 2–3 years of medical office management experience required
  • Plastic surgery, aesthetics, dermatology, or concierge medicine experience preferred
  • Strong leadership, organizational, and communication skills
  • Experience managing staff, schedules, and daily office operations
  • Sales-oriented mindset with the ability to confidently discuss procedures and treatment plans
  • Marketing and business development experience preferred
  • Familiarity with EMR systems, scheduling software, and insurance processes
  • Strong problem-solving and decision-making abilities
  • Professional demeanor with exceptional customer service skills
  • High-energy, outgoing, and patient-focused personality

Key Responsibilities

  • Oversee day-to-day office operations to ensure efficiency and exceptional patient experiences
  • Manage, train, schedule, and support front office staff
  • Monitor patient flow and optimize provider scheduling and office productivity
  • Coordinate billing activities, collections, and financial performance tracking
  • Develop, implement, and maintain office policies, procedures, and workflows
  • Collaborate with physicians and leadership on business development and growth initiatives
  • Conduct patient consultations and assist with procedure and treatment plan sales
  • Support marketing efforts, patient retention strategies, and community outreach initiatives
  • Address patient concerns with professionalism, discretion, and empathy
  • Track key performance indicators (KPIs) and contribute to revenue growth goals
  • Maintain compliance with healthcare regulations and office standards
  • Foster a positive, team-oriented workplace culture focused on patient satisfaction
