Administrative Assistant (Temporary Assignment)
Pay Rate: $21.00 – $22.00 per hour
Schedule: Monday – Friday, 7:00 AM – 3:30 PM
Assignment Length: 4–8 Weeks (Temporary Assignment)
Position Overview
We are seeking an experienced Administrative Assistant to support daily office and plant operations. This role requires strong organizational, communication, and customer service skills. The selected candidate will work closely with employees, vendors, customers, and management to ensure efficient administrative support throughout the facility.
Resumes will be reviewed by the hiring manager, and qualified candidates will be scheduled for interviews.
Primary Responsibilities
  • Answer incoming phone calls and direct inquiries appropriately
  • Assist employees, vendors, and visitors with questions and requests
  • Support scheduling and dispatch operations
  • Maintain filing systems and organize company records
  • Scan and archive documents
  • Prepare reports and locate requested paperwork for management
  • Track down and organize files as needed
  • Restock and distribute safety equipment, PPE, and office supplies
  • Sort and process incoming and outgoing mail
  • Maintain company bulletin boards and office organization
Administrative & Customer Service Duties
  • Respond promptly and professionally to customer inquiries and complaints
  • Assist with setting up and maintaining customer and vendor accounts
  • Support the onboarding process in partnership with Human Resources
  • Create purchase orders and assist with Accounts Payable activities
  • Review invoices and communicate with vendors and corporate accounting
  • Assist with Accounts Receivable by ensuring timely and accurate customer invoicing
  • Complete daily, weekly, and monthly operational reports
  • Assist with payroll, production reporting, and shipping/receiving documentation
  • Coordinate administrative projects and special assignments as needed
Qualifications
Required
  • High School Diploma or equivalent
  • Prior administrative experience
  • Minimum of 2 years of customer service experience
  • Strong Microsoft Office skills (Word, Excel, Outlook)
  • Excellent organizational and multitasking abilities
  • Strong verbal and written communication skills
  • Ability to work independently and manage deadlines effectively
  • Must be at least 18 years of age
Preferred
  • Four-year college degree or 3–5 years of relevant administrative experience
  • Manufacturing and/or transportation industry experience
  • Bilingual (English/Spanish)
  • Experience supporting payroll, invoicing, dispatch, or HR functions
